Organiser Code of Conduct
1. Purpose of this Code
This Organiser Code of Conduct ("Code") sets out the standards, responsibilities, and expectations for any individual or organisation ("Organiser") who creates, manages, or runs competitions using the Platform. By creating an event, the Organiser agrees to comply fully with this Code.
2. Legal and regulatory compliance
Organisers must:
- Ensure that every competition they run is safe, lawful, and compliant with all applicable local, national, and international laws.
- Comply with all relevant regulations relating to health and safety; safeguarding and child protection; venue licensing and capacity limits; insurance requirements; martial-arts or wushu-specific governing-body rules; and data-protection and privacy laws.
- Conduct appropriate risk assessments and implement all required safety measures.
Organisers are solely responsible for the legal compliance of their events.
3. Duty of care and participant safety
Organisers must:
- Provide a safe environment for all participants, officials, volunteers, and spectators.
- Ensure that competition areas, warm-up zones, and equipment meet appropriate safety standards.
- Maintain adequate supervision and staffing levels.
- Have emergency procedures in place, including first aid and incident reporting.
- Ensure that minors are supervised by responsible adults at all times.
Organisers must not run events that pose foreseeable or avoidable risks.
The Platform provides an in-app incident log so organisers and assigned head judges or chief referees can record health and safety incidents on the day. The log is a record-keeping aid only — it does not replace first aid, emergency-services dispatch, or any external reporting obligations the Organiser may have. Recording an incident does not transfer responsibility to the Platform: the Organiser remains the legal record-keeper for incidents at their event.
4. Equipment, apparatus, and venue safety
Organisers must:
- Ensure that any equipment or apparatus they provide is safe, well-maintained, and fit for purpose.
- Inspect competition areas, flooring, lighting, and venue conditions before and during the event.
- Prohibit the use of unsafe or damaged equipment brought by participants.
- Enforce rules regarding safe use of wushu apparatus (e.g., staff, spear, sword, broadsword).
Organisers accept responsibility for injuries or incidents arising from unsafe venue conditions or equipment they provide.
5. Safeguarding children and vulnerable people
Organisers must:
- Follow all safeguarding laws and best-practice guidelines (see Safeguarding Policy).
- Ensure that all staff and volunteers understand their safeguarding responsibilities.
- Respond immediately to any safeguarding concerns.
- Ensure that minors are only registered by a parent/guardian or authorised representative.
- Prevent inappropriate behaviour, bullying, harassment, or discrimination.
Organisers may be required to appoint a designated safeguarding officer for larger events.
6. Fairness, integrity, and professional conduct
Organisers must:
- Treat all participants fairly and without discrimination.
- Ensure judging, scoring, and officiating are impartial and transparent.
- Avoid conflicts of interest or declare them where unavoidable.
- Maintain professional behaviour at all times.
- Not engage in abusive, threatening, or inappropriate conduct.
7. Data protection and privacy
Organisers must:
- Handle all personal data in compliance with UK GDPR, EU GDPR (where applicable), and the Data Protection Act 2018.
- Only collect data that is necessary for competition administration.
- Ensure that any data they upload is lawful and authorised.
- Not misuse participant data or share it without proper authority.
Organisers act as data controllers for participant data they collect, on the terms of the Data Processing Agreement.
8. Media, photography, and recording
Organisers must:
- Inform participants and parents/guardians if photography or filming will take place.
- Obtain parental consent for photographing or filming minors.
- Prevent photography in private areas (e.g., changing rooms).
- Ensure that media use is appropriate, respectful, and lawful.
9. Communication and conduct toward participants
Organisers must:
- Communicate clearly, respectfully, and professionally.
- Provide accurate event information, schedules, and rules.
- Respond to participant queries in a timely manner.
- Not use aggressive, discriminatory, or inappropriate language.
10. Financial integrity
Organisers must:
- Be transparent about entry fees, refunds, and payment terms.
- Not engage in fraudulent or misleading financial practices.
- Honour any advertised prizes, awards, or reimbursements.
11. Prohibited conduct
Organisers must not:
- Run unsafe or unlawful competitions.
- Misuse participant data.
- Engage in harassment, discrimination, or abusive behaviour.
- Allow unqualified individuals to supervise minors.
- Use the Platform for fraudulent, misleading, or harmful purposes.
- Upload false, misleading, or unauthorised information.
- Circumvent Platform rules, restrictions, or technical protections.
12. Platform rights in case of breach
If an Organiser breaches this Code, the Platform reserves the right to:
- Suspend or terminate the Organiser's account.
- Remove or cancel competitions.
- Block the Organiser from creating future events.
- Report unlawful activity to relevant authorities.
- Take any other action necessary to protect participants and the integrity of the Platform.
13. Indemnity
The Organiser will indemnify and hold harmless the Platform from any claims, liabilities, damages, or losses arising from unsafe event conditions, failure to comply with legal or regulatory requirements, negligence or misconduct by the Organiser or their staff, or injuries or incidents occurring at the event.
14. Declaration
By creating or managing a competition, the Organiser declares that:
- They have read and understood this Code of Conduct.
- They agree to comply fully with all requirements.
- They accept responsibility for the safety, legality, and integrity of their events.
- They understand that breach of this Code may result in immediate loss of access to the Platform with no refund.
